EventZero: Calculate & Reduce Your Events' Carbon Footprint

EventZero Terms of Service

These Terms of Service (“Terms”) govern your access to and use of the EventZero platform, websites, and related services (collectively, the “Service”) provided by EventZero LLC, a Wyoming limited liability company, located at 312 W 2nd St, Unit #A3044, Casper WY 82601 USA (“EventZero,” “we,” “us,” or “our”)**.

By creating an account, using the Service, or executing an Order Form that references these Terms, you agree to be bound by these Terms, our Privacy Policy, and our Data Processing Addendum (DPA).
If you are entering into these Terms on behalf of an organisation, you represent that you have authority to bind that organisation.

2. The Service

EventZero provides a hosted software platform that enables customers to measure, analyse, and report the environmental impact of meetings, events, productions, and sporting activities.
The Service is delivered online (“software-as-a-service”); no local installation is required.


3. Eligibility

You must be at least 18 years old and legally capable of entering into contracts.
You may use the Service only in compliance with these Terms and applicable law.




4. Accounts and Access


You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account.
EventZero may suspend or terminate accounts that violate these Terms.





5. Fees and Payments

Fees are displayed at checkout or in the applicable Order Form.
Payments may be made via Stripe or by invoice and are due as stated at purchase.
All fees are in United States Dollars and are exclusive of taxes.
Subscriptions automatically renew for the same term unless cancelled in accordance with Section 11.







6. Data Ownership

You retain ownership of all information, data, and content you submit to the Service (“Customer Data”).
EventZero does not claim ownership of Customer Data and processes it only to provide and improve the Service.







7. Privacy and Data Protection

We use carefully selected subprocessors to host infrastructure and support the Service.

We require each subprocessor to implement appropriate technical and organisational measures consistent with Article 28 of the GDPR.

We may also disclose information:
  • To professional advisers or service providers acting on our behalf;
  • When required by law or valid legal process;
  • In the event of a merger, acquisition, or asset transfer.







8. Security

EventZero maintains administrative, physical, and technical safeguards to protect Customer Data, including:

  • Hosting within Amazon Web Services (AWS) data centres;
  • Encryption in transit (TLS 1.2+) and encryption at rest (AES-256);
  • Role-based access control (RBAC) and multi-factor authentication for privileged users;
  • Logging, monitoring, and vulnerability management;
  • Daily encrypted backups with verified restore testing.

9. Credential Security and Integrations


If you enable a third-party integration (for example, Cvent), you authorise EventZero to store encrypted credentials or tokens solely to authenticate API requests necessary to provide the Service.
EventZero stores such credentials exclusively in AWS Secrets Manager, encrypted using AWS Key Management Service (KMS) (AES-256).
Credentials are protected by fine-grained AWS Identity and Access Management (IAM) permissions, retrieved only at runtime by the integration service, and never visible in plaintext or logs.
You may rotate or revoke credentials at any time.
EventZero recommends using OAuth or API tokens rather than passwords wherever supported.


10.  Intellectual Property



All intellectual-property rights in the Service, including software, databases, and content (except Customer Data), remain the exclusive property of EventZero and its licensors.
 You may not copy, modify, reverse-engineer, or create derivative works based on the Service.


11. Term, Renewal, and Termination




Your subscription begins on the date specified during sign-up or in your Order Form.
Subscriptions automatically renew unless cancelled at least 30 days before renewal.
Either party may terminate for material breach after 30 days’ written notice if the breach is not cured.
Upon termination, your access will cease and EventZero will delete Customer Data within 30 days, subject to backup retention..

12. Confidentiality





Both parties agree to protect each other’s Confidential Information with reasonable care and to use it only for purposes of this Agreement.

13.  Warranties and Disclaimers





The Service is provided “as is.” EventZero does not warrant that the Service will be uninterrupted or error-free.
 All implied warranties, including merchantability and fitness for a particular purpose, are disclaimed to the extent permitted by law.

13A. Accuracy of Calculations and Indemnity





EventZero’s Service provides data modelling, estimates, and analytics based on information supplied by the Customer and third-party emission factors or databases.
While EventZero applies reasonable methodologies and industry standards, all results are provided for informational and planning purposes only and do not constitute a certified environmental audit or compliance report.

EventZero makes every effort to ensure that the platform uses the most current carbon factors, data sources, and methodologies available at the time of calculation. However, emission factors and sustainability methodologies evolve over time, and changes in data, assumptions, or scientific consensus may affect results.

You acknowledge that:
  • EventZero does not independently verify your inputs;
  • Calculations are based on the best available industry data at the time of processing but are inherently estimative; and
  • You are solely responsible for verifying and interpreting outputs before relying on or publishing them.

Accordingly:
  • EventZero makes no warranty or representation regarding the accuracy, completeness, or suitability of any calculated results; and
  • EventZero shall not be liable for, and you shall indemnify and hold EventZero harmless against, any claim, loss, or damage arising from your reliance on or publication of such outputs, except to the extent caused by EventZero’s wilful misconduct or fraud.



14. Limitation of Liability






To the maximum extent permitted by law:
  • EventZero’s aggregate liability for any claim under these Terms shall not exceed the fees you paid in the 12 months preceding the claim; and
  • EventZero is not liable for indirect, incidental, special, or consequential damages, including loss of profits, data, or goodwill.

15. Indemnification






You agree to indemnify and hold harmless EventZero and its affiliates from any claim arising from your misuse of the Service or violation of these Terms.





16. Compliance and Export






You will comply with all applicable laws and export-control regulations in connection with your use of the Service.






17. Changes to the Service or Terms







EventZero may update the Service or these Terms from time to time.
Material changes will be posted on our website or communicated via email.
Continued use of the Service after changes take effect constitutes acceptance.







18. Governing Law and Jurisdiction






These Terms are governed by the laws of the State of Wyoming, USA, without regard to conflict-of-law principles.
 Disputes will be resolved in the courts of Wyoming unless otherwise required by mandatory law.

20. Entire Agreement





These Terms, together with any applicable Order Form, the DPA, and the Privacy Policy, constitute the entire agreement between you and EventZero and supersede all prior communications.
